VFC 400 Vaccine Monitoring KitEverything needed comes within the kit, which includes: VFC 400 data logger Stainless steel temperature probe with 5’ of cable in a shatterproof glycol filled bottle Acrylic stand so your glycol bottle can stand up in the fridge orfreezer Mounting bracket to be attached to the side or front of yourfridge/freezer Installation Kit- Adhesive backed cable tie mounts with tie wrapsso you can secure the cable to the side of the fridge/freezer One extra battery. The data logger comes with a battery installedin the logger and an extra battery 2 year NIST traceable Certificate of Calibration compliant to ISO17025; 20053

STEP 1: Installing the Probe1. Place the acrylic stand andprobe vial in the coldstorage unit on the centerrack where the VFC vaccinesare required to be placed.2. Run the cable underneaththe wire rack and secure itwith a zip tie.5
STEP 1: Installing the Probe4. Route the cable towardthe wall of the hinge sideand secure with a zip tie.5. Continue to route thecable towards the front ofthe fridge/freezer on thehinge side and secure.6
STEP 1: Installing the Probe6.7.8.9.Place the logger into the wallmounting bracket, pluggingthe sensor wire into thelogger (left side).Adhere the mounting bracketfor the VFC 400 to either theside or front of the door in aspot that is easy to view andoperate.About 6 inches underneaththe logger, secure the cabletie bracket and secure thecable with a zip tie.Leave enough slack in thecable so you can plug andunplug the VFC 400 easily.7
STEP 2: VFC 400 Software Download From the internet, go to www.vfcdataloggers.com todownload the latest software revision. Click on Software Downloads and then click on “VFC 400Software Download”.8
STEP 2: VFC 400 Software DownloadScroll down andclick on “Click toDownload”.When the box shows up asshown, click on “Save”.9
STEP 2: VFC 400 Software Download Go to where you savedthe file and click on thefile to start thedownload. You will needadministration rights todo this and may need ITsupport. The file is saved as a zipfile. Double click on thezip file and then doubleclick on file“csvtmc 27r8.exe”.10
STEP 2: VFC 400 Software Download A pop-up will appear that asks “Do you want to allow thefollowing program to make changes to this computer?”. Clickyes. The next series of pop-ups click as shown by the arrows.11

STEP 3: Software Set-up Configuration After the software has been installed, go to the icon on yourdesktop and double click to open. Click on Edit and then click on Options in the drop down.18
STEP 3: Software Set-up ConfigurationClick on “General Settings”.Select F or C inthe drop down list.This will be howthe temperaturewill be displayed inyour software.19
STEP 3: Software Set-up ConfigurationClick on Automation Settings and check the “Automatically” box.Select Automation from theleft hand side menu, thenclick on "automatically"under the “Uploaddownloaded files to FTPServer” to be able to senddata logger data to theVTMC (Vaccine TemperatureMonitoring Cloud), allowingautomatic transmission ofthe data logger data to theVTMC each time the datalogger is docked.20
STEP 3: Software Set-up Configuration Click “File and Folder Setting” Select the “ ” to select an alternative destination for thedata logger reports.21
STEP 3: Software Set-up ConfigurationIf you desire to export yourdata to another locationsuch as an external drive orshared drive: Click “File” Click “Save As” Select file destination Type in a Unique FileName Select the file type (.txt,.ltd, .csv) Click “Save”Note: This method allows others to have access to the file inyour absence or if the computer fails. This must also besaved in accordance with your organization’s protocols.22
STEP 3: Software Set-up ConfigurationIf you desire to save yourdata on your currentcomputer. Click on File and FolderSettings. By default the VFC 400software will save thedata to:Public Documents LogTag Data so anyonelogged onto the PC canaccess the data.Note: If you prefer to save the data to a network or shareddrive, click the button with 3 dots( ). A box will appear saying“Locate Folder”. Select the desired folder and click “OK”.23
STEP 3: Software Set-up ConfigurationTo set up the defaultexporting format: Click Exports andReports Select your desiredmethod (.csv, .txt)To set up the defaultsending format: Click Exports andReports Select your desiredmethod (.csv, .ltd)24
STEP 4: VFC 400 Data LoggerConfigurationNote: Control Solutions will pre-configure data loggerssent to the Department of Health Services. The box andlogger should be labeled Fridge or Freezer. The followinginstructions are for loggers that are pre-configured.If the data logger is not configured upon receiving it,please call the Arizona Immunization Program Office forassistance.25
STEP 4: VFC 400 Data LoggerConfiguration Open the VFC 400 (LogTag Analyzer) software on thecomputer to download the data. Plug the docking station into the USB port of the computer. STEP 4: VFC 400 Data LoggerConfigurationIf you have the LTI-HID Docking station, you will be using a dualLED light indicator.27
STEP 4: Downloading Data LoggerReports After you insert the logger into the docking station youshould see 2 screens in succession. When you see “Logger has been re-configured” click OKand then you should be back to the grey screen.28
STEP 4: VFC 400 Data LoggerConfigurationIn the upper left corner of the software click on “LogTag”then click on “Configure” from the drop down menu.29
STEP 4: VFC 400 Data LoggerConfiguration The top field is the UserID field. Select a namefor your data logger. VFC providers mustselect a User ID thatcontains their VFC pinand type of cold storageunit. Example: Pin# FGPrimary Up to 58 Characters long30

STEP 5: Operation of the VFC 400Starting The LoggerRecorder in READY mode The recorder must be in Ready Modefor it to be started. In Ready Mode, the recorder displaysthe time and the READY icon. Press and hold the Start/Clear/Stopbutton. STARTING will appear and blink 6 timesprior to stopping. RECORDING willappear and remain once theSTART/CLEAR/STOP has been released.Note: STARTING will display in addition toREADY and then READY will disappear.34
STEP 5: Operation of the VFC 400Starting The LoggerThe VFC 400 is recording temperature dataonce READY disappears. Release the buttonwithin two seconds and STARTING will alsodisappear, and the REC icon will display.Note: The recorder will not start if you releasethe button before READY disappears. Continueholding the button for more than 2 secondsafter READY disappears. An indicator that there are no alarms is theicon in the upper left corner and the audiblealarm is not beeping.35
STEP 5: Operation of the VFC 400Recording Display During normal operation, the display showsthe most recently recorded temperature.The current time is also displayed (24HR/military time). A tick symbol is shown as long as no alarmevents have occurred. If an alarm event is registered, an X icon isshown instead of the tick. In this example,there is an alarm event as the temperature isabove 46 F. The upper left corner has the X symbol andthe audible alarm is sounding. The timedisplayed is 1:29 pm (24 HR/military time). The bottom of the display has an alarm daysummary, where all alarms are shown for thelast 30 days. Alarm events were recorded today (indicatedby the “T”) and 3 days ago (indicated by -3).We can see they were high alarms because ofthe up triangle .36
STEP 5: Operation of the VFC 400Recording DisplayAt 1:49 am the next day the displayshows the following: The temperature has returnedto the acceptable range but thealarm remains present. The X isstill displayed and the audiblealarm is still sounding. The day summary has shifted by1 day as the display time hasgone through midnight (00:00).-4 day and day are displayedindicating an alarm occurred 4days ago and 1 day ago.37
STEP 5: Operation of the VFC 400The review of daily minimum/maximum (min/max) temperatures isaccessed by pressing the REVIEW/MARK button and is accessible inRECORDING and STOPPED modes only. Pressing the Review/Mark buttondisplays current day’s max temperature. The “T” flashes (indicating Today) and“Day 00” is shown to indicate the ‘Today’selection. In this screen example the selected day(Today) does not have any recordings thatare outside the acceptance range. Pressing Review button again displays theday’s minimum temperature (the “T”flashes).38
STEP 5: Operation of the VFC 400 Pressing the Review/Mark button a 3rdtime displays the previous day’s maxtemperature. The “” flashes (indicating yesterday) and “01 days” is shown to indicate the previousday’s selection. Pressing the Review/Mark button a 4thtime displays the previous day’s mintemperature. The “” flashes (indicating yesterday) and “01 days” is shown to indicate the previousday’s selection. You can review themin/max for up to 30 days or as long asthe logger has been logging.Note: If no button is pressed for 30 seconds, theregular display returns.39
STEP 5: Operation of the VFC 400Stopping the Data Logger Hold down the Start/Clear/Stop button for 12 seconds. The word STOPPED will appear asthe logger stops recording temperatures . The REC symbol will disappear when youtake your finger off the button quickly. The logger will stop and the screen will onlysay STOPPED and show the number of daysdata was collected. Take the logger to your PC, open thesoftware and insert the logger in the dockingstation to download the data.Note: The logger must be stopped before itcan be unplugged and placed in the dockingstation.40
